Job Description:

The Project Coordinator, Campus Planning and Capital Projects, assists project teams in all aspects of the project planning and management processes for small and major capital projects.

Job Responsibilities:

  • The incumbent monitors project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.
  • The incumbent works with team members to create a realistic timeline, following up with team members to ensure everything is running smoothly, and tracks project progress in a variety of ways. Analyses project data and produces progress reports.
  • The Project Coordinator assists with the coordination of project processes including day-to-day activities for the Project Management team.
  • The incumbent coordinates documentation, including but not limited to set up, RFP and tender packages, project drawings, purchase orders, contracts, building permits, change order requests, pricing, RFIs, RFQs and close out documents. Ensures the maintenance and security of the documentation throughout the length of the project.
  • They will collaborate with all internal and external project stakeholders and maintain a customer service focus by participating in all relevant department and interdepartmental meetings as they relate to Campus Planning and Capital Projects.

Job Requirements:

  • Demonstrated outstanding teamwork skills with desire to work effectively in a team environment with minimum direction.
  • Must be available for evening and/or weekend work to fulfill the needs, duties, and responsibilities of the role of Project Coordinator.
  • Experience working on several projects simultaneously.
  • Ability to gather information from various sources, compile data, and prepare complex reports and presentations for administrative and programmatic activities.
  • Diploma in a related field, such as construction/project management, architecture, interior design, graphic design, or engineering, from a recognized institution.
  • Demonstrated communication and interpersonal skills, including the ability to use tact, diplomacy, and discretion when dealing with confidentiality and a diverse set of disciplines, and levels of management.
  • Ability to read and analyze architectural drawings with an understanding of mechanical, electrical and communication systems.
  • Two (2) years general construction and/or project management and space planning experience.
  • Ability to handle frequently changing priorities and coordination of multiple activities, which require a high degree of flexibility.
  • Microsoft software including Excel, Word, Project, Power Point etc., AutoCAD or other recognized CAD software experience, web site and project management tools.
  • Strong conceptual thinking, organizational and problem-solving skills.
  • Experience with Smartsheet an asset.
  • Proven knowledge of the construction process through all phases.
  • Proven ability to work effectively both independently and in a team-based environment.
  • At minimum, familiarity with Project Management, which should include directly applicable construction management experience.
  • Demonstrated understanding of construction documents, project management and space management.
  • Demonstrated analytical skills with the ability to anticipate, identify, and resolve complex problems with a high level of detail.
  • Valid BC Driver’s License (Class 5) and own (or have access to) a vehicle.
