The Administrative Assistant provides administrative and executive support to two Operational Vice Presidents
Job Responsibilities:
- Coordinate spacing requirements and logistics for new hires
- Attend meetings, take and distribute meeting minutes, assist in creation of meeting Agenda
- Organize and arrangement payment for invoices, membership renewals, conference registrations via Concur
- Track budget, purchase orders and expenses through Concur
- Act as a resource and subject matter expert for database (SalesForce)
- Conserves leader’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiate telecommunications
- Transcribe correspondence, reports and other documents
- Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines
- Contributes to team effort by accomplishing related tasks and special projects. as required
- Prepares reports by collecting and analyzing information.
- Conduct follow-ups on deliverables, coordination of initiatives
- Oversee internal project initiatives assisting with administrative related duties and coordinating various tasks to ensure deadlines are met
- Assisting with internal compliance updates and communications
- Utilize analytical skills and a broad understanding of the business to interpret and anticipate the needs of the executives and proactively bring together appropriate resources to be supportive in addressing issues
- Send meeting invitations, organize meeting facilities, and order food/beverages
- Maintains client and executive confidence and protects operations by keeping information confidential
- Work collaboratively with the line of business Executive Assistants and Administrative Assistants
Proof read and format reports for initiatives and client deliverables - Format PowerPoint presentations for client meetings
- Maintains leader’s appointment schedule by planning and scheduling meetings, conferences, and teleconferences
- Devise ways to continuously improve team operations
- Works directly with financial statements and reports, understands basic accounting principles, has moderate level knowledge of financial systems
Job Requirements:
- A high degree of professional maturity is required, including mindfulness of the significant degree of confidentiality required in this position to allow the candidate to effectively interact with all levels of the organization
- 1-3 years of experience in an Administrative Assistant, Executive Assistant or similar support role
- Experience with Concur and/or Salesforce is a significant asset
- Strong mathematical skills are essential, comfort with accounting principles is an asset
- Advanced proficiency with MS Office Suite (Word, Excel, PowerPoint and Outlook) is required, including experience creating and/or updating PowerPoint presentations and creating mail merges with numerous recipients
- Completed post-secondary education in Business Administration or a related field, a University degree is preferable
- Proven ability to act as a dedicated and flexible team player, with a high energy level and solid organizational abilities
- Bilingual (English / French) required
- Strong organizational and time management skills are required, including the proven ability to manage multiple priorities and time sensitive situations while working comfortably and efficiently in a fast-paced environment
