Job Description:
Reporting to the Associate Director, Facilities Planning and Sustainability, the incumbent is responsible for the leadership, development, administration and implementation of Facilities Management objectives as they relate to the management of building and renovation projects college-wide. The role combines lead project manager duties with the technical expertise to develop, maintain and consistently apply design standards across college projects and maintain accurate project and building records. Specific duties include, but are not limited to:
Job Responsibilities:
- Developing cost estimates for infrastructure projects and where applicable, working with architects and engineers to determine budget figures for larger projects
- Completing project close-out activities
- Developing drawings, specifications and tender packages for projects
- Researching and evaluating building products to determine appropriateness
- Collaborating with user groups, architects, engineers, consultants, and Facilities Management staff, etc. for purposes of designing buildings or large renovations to existing spaces college-wide
- Assigning work to a team of designers in accordance with Facilities Management priorities
- Maintaining project files for active projects
- Collaborating the efforts of other managers within Facilities Management during renovation projects
- Ensuring work orders are responded efficiently and consistently by staff
- Ensuring Facility Condition Index records remain current within the software database and are updated at project close-out
- Coordinating with other managers within Facilities Management, Information Technology, and
- Campus Safety Services as appropriate to their area of expertise
- Managing a complicated college-wide database report used by government in the delegation of funding for the Colleges Facility Renewal program
- Contributing to the development of new policies, procedures and tools to improve the activities of the Architectural Services team and Facilities Management department
- Leading the development, updating and consistent application of design standards for all disciplines in consultation with other managers in Facilities Management, and including the completion of design reviews on work prepared by external consultants.
- Providing staff with the appropriate level of training in order to record information accurately
- Preparing and tracking project budgets and authorizing payments
- Participating in site meetings on large capital projects, meeting with contractors, architects and engineers to review work proposed or in progress and following up on items, and planning remaining/outstanding work
- Tracking schedules and following up with action required to remediate deficiencies and deviations from schedule
- Managing and updating the college-wide collection of facilities drawings and specifications
- Retaining and organizing project records for design, construction and as-built documents and shop drawings
- Providing stakeholders with constant communication/updates on work progress
- Coordinating and checking the submissions of other managers within Facilities Management in order to provide correct and sufficient information for government reporting
- Managing the scope, schedule, and budget of assigned projects from initiation to close-out
- Reviewing work in progress, correcting deficiencies, giving instruction/clarification
Job Requirements:
- Computer competency in the following programs: AutoCAD, Excel, Word, VFA facility management software
- Experience in building and maintaining budgets
- Ability to perform space planning exercises and to convert verbal communication into design plans
- Certification in Project Management (ie PMP) is preferred
- Registered P. Eng. or Architect is an asset
- Ability to read blueprints and sketches
- Seven years experience in a similar position that includes substantial background in multi-million dollar project management
- Strong organizational, problem-solving, conflict resolution, and negotiation skills
- Strong communication skills (both oral and written)
- Successfully completed a three-year degree in Interior Design, Architecture, Engineering or other related field
